Hi Team,

Thank you for registering for Paylocity earlier this week! As we transition to our new HR/Payroll system, there are a few housekeeping items to review and some key differences compared to ProLiant.

First Clock-In Date: Please begin clocking in with Paylocity on Sunday, March 9. We are working with CPU to remove the ProLiant links from our existing computers. Each hospital will have computers with designated clocking links for easy access. Check this link for a quick video on how to punch in and out.

• Geofencing: If you use your mobile phone to clock in, you must be onsite at your facility for the system to record your punch. Check this link for more information on how Paylocity geofencing works.

• Bi-weekly Pay Schedule: We are switching to a bi-weekly pay schedule. You can view the payroll calendar here. This change results in additional pay periods per year. For hourly employees, the work week will remain on midnight Sundays through the following Saturday at midnight for overtime calculation. For salaried employees, your annual salary will remain unchanged, but individual paychecks will be slightly smaller and more frequent. We will send a communication when the per paycheck amounts are updated in your Paylocity profile.

• PTO Requests: PTO balances will be loaded after the final payroll processing in ProLiant to include the most up-to-date totals. Once balances are loaded, all previously submitted PTO requests in ProLiant must be resubmitted in Paylocity. Unfortunately, this is a required step when switching payroll systems.

 • Multiple Locations: If you work at multiple hospitals, your pay will now be deposited as separate payments for hours worked at each location. The total pay amount remains the same, and you will see it as multiple deposits, instead of one, in your account.

• 401k/Retirement: No change! We will continue to utilize ADP as our retirement portal.

• Additional System Features: We are in the final stages of launching several exciting features, including the benefits portal, self-service, and community features. Additional pay history information will also be loaded into the system. We will share further information as these areas are fully available. We appreciate your patience.

• ACT Employee Training:?Employee training has been launched in ACT. This training includes an overview of basic system features and clocking instructions.

We will roll out additional features throughout the year. If you have questions in the meantime, please email humanresources@thevetspets.com
